Author Guidelines

Cover Letter

A cover letter is not necessary, but may be sent at the discretion of the author(s). The text for such a letter can be entered in the "Comments for the Editor" box at the bottom of Step 1 of the submission process, or can be sent via e-mail directly to Dr. Chew or Dr. Richardson.

Manuscript Layout

Acceptable submission file formats include: Microsoft Word, Open Office, RTF and plain text.

The text should consist of the following sections:
  • Full title page
  • blind title page
  • short abstract
  • key words
  • case report
  • discussion
  • references

Full Title Page: Includes the full title of the case report; names, affiliations and e-mail addresses of all authors. The corresponding author should be clearly identified, with present address and telephone number. (This page will be removed from the manuscript before it is sent to reviewers).

Blind Title Page: This is included after the title page, and contains the title only of the case report (without the authors’ names or affiliations). This page will be used in the review process.

Abstract: This should succinctly summarize the main points of the case report. Please do not include abbreviations or references in the abstract.

Key Words: Please include a few key words for indexing.

Case Report: This section contains the details of the case, including the patient's history, physical exam, pertinent laboratory values, imaging findings, surgical results, and pathology findings. Explain in detail how the diagnosis was confirmed.

Discussion: Explain the unique aspects of your case report, and define its significance, if any, to clinical practice.

References

  • References are numbered consecutively in the order in which they appear in the text.

  • All references are cited in the text, are enclosed in brackets, and are typed on line with the text (not superscripted).

  • Unpublished data are not cited in the reference list, but are cited parenthetically in the text, for example: (Smith DJ, personal communication), (Smith DJ, unpublished data). This includes papers submitted, but not yet accepted, for publication.

  • Papers presented at a meeting are not cited in the reference list but are cited parenthetically in the text, for example: (Smith DJ et al., presented at the 2003 annual meeting of the American Roentgen Ray Society). After first mention, use (Smith DJ et al., 2003 ARRS meeting).

  • Inclusive page numbers (e.g., 333–5) are given for all references.

  • Journal names are abbreviated according to Index Medicus.

  • All journal references must be accompanied by their unique PubMED ID number (PMID). If a PMID is not available for an electronic reference, the Digital Object Identifier (DOI) should be used instead. If a DOI is not available, then the URL and last date of access should be used.

  • Style and punctuation of references follow the format illustrated in the following examples. (All authors are listed when six or fewer; when seven or more authors, the first three are listed, followed by et al.)

Journal articles follow the style used by the National Library of Medicine:
1. Rich TA, Schiller A, Suit HD, Mankin HJ. Clinical and pathologic review of 48 cases of chordoma. Cancer. 1985 Jul 1;56(1):182-7. PMID: 2408725

Book
2. Smith LW, Cohen AR. Pathology of tumors. 6th ed. Baltimore, MD: Williams & Wilkins; 1977:100–109.

Chapter in a book
3. Breon AJ. Serum monitors of bone metastasis. In: Clark SA, ed. Bone metastases. Baltimore, MD: Williams & Wilkins; 1983:165–180.

Illustrations

Each illustration must be uploaded in high resolution format as an individual supplementary file in step 4 of the submission process. Please enter a title for each image when asked for "Supplementary File Metadata" and then select "Save and continue". Other metadata is currently optional. Once all illustrations and their metadata have been entered, select "Save and continue" one final time to move on to step 5 of the submission process.

If your paper is submitted in Microsoft Word or Open Office format, you should also include reduced size versions of the images in the body of the manuscript text.

All static illustrations should be submitted in JPG (maximum quality) or TIFF format. Radiographic images or digitized film images should be no smaller than 1000 x 1000 pixels, but may be larger. Digital diagnostic modalities (i.e. CT, MR, or US) may be submitted in their native size and resolution.

Submission of images in PowerPoint format is strongly discouraged, due to image degradation in this format.

If images are submitted with arrows, legends or other markings, versions of these images without any markings must also be included in the submission.

Images should be cropped and appropriate window and level settings should be applied. Any patient and institutional identifying information should be removed. Any other alteration of images must not change the diagnostic information contained within it.

Audio or video files that enhance the understanding of the case may also be submitted as supplementary files.

Tables

  • Each table has a short, descriptive title, and each column has a heading.

  • Tables do not exceed two pages in length and must contain at least four lines and two columns of data.

  • Tables are numbered in the order in which they are cited in the text.

  • Abbreviations are defined in an explanatory note below each table.

  • Tables are self-explanatory and do not duplicate data given in the text or figures.

  • All arithmetic (percentages, totals, differences) has been double-checked for accuracy, and tabular data agree with data given in the text.

  • Tables should be prepared in MS Word format, or by entering data across the row (or horizontally) divided by tabs, with a return at the end of each row.

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  2. Acceptable submission file formats include: Microsoft Word, Open Office, RTF and plain text.
  3. All URL addresses in the text (e.g., http://pkp.sfu.ca) are activated and ready to click.
  4. The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, figure legends, and tables are placed at the end.
  5. The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Journal.
  6. Protection of Human Subjects: Retrospective preparation of case reports generally does not fall under the purview of Institutional Review Boards, but authors should confirm this with their individual institutions. Identities of individual patients should be protected.
